Spectrum Management is seeking a data-driven and analytical Operations Analyst to support operations across multiple Washington, D.C. locations. Key Responsibilities:
- Work Schedule: Monday – Friday, 8:30 AM – 5:00 PM
- Analyze operational and work order data to identify trends, gaps, and opportunities for improved performance
- Develop, generate, and distribute daily, weekly, and monthly reports, ensuring accuracy and actionable insights
- Own and track key performance indicators (KPIs) related to service delivery, vendor performance, and operational efficiency
- Evaluate workflows and recommend process improvements to streamline operations and reduce inefficiencies
- Manage and optimize work order systems, including task creation, tracking, and closeout across multiple sites
- Administer and enhance operational platforms such as Monday.com, Salesforce, & Monday.com to improve workflow visibility and reporting capabilities
- Partner with leadership to leverage technology and automation to drive productivity and efficiency
- Support the development, implementation, and compliance of Standard Operating Procedures (SOPs)
- Collaborate cross-functionally with operations, facilities, and finance teams to align processes and improve outcomes
- Monitor vendor performance, pricing, and service quality to ensure cost-effective and timely service delivery
- Maintain accurate records related to invoices, contracts, certificates of insurance, and accounts payable processes
- Ensure data integrity across systems and reporting tools
- Communicate insights and recommendations to leadership to support data-driven decision-making
- Support strategic initiatives by identifying opportunities for continuous operational improvement
- Oversee the full lifecycle of work orders, including prioritization, tracking, and closeout, to ensure timely and efficient service delivery across multiple sites
- Manage and analyze preventive maintenance programs to ensure compliance, optimize asset performance, and minimize operational disruptions
- Coordinate dispatching and scheduling activities to align resources, subcontractors, and service requests with operational priorities
- Administer subcontractor lifecycle processes, including procurement, requisitions, onboarding, and compliance with insurance and contractual requirements
Required:
- Bachelor’s degree required
- 3+ years of experience in operations, data analysis, facilities coordination, or similar role
- Strong data analytics and reporting experience
- Advanced proficiency in Microsoft Excel (formulas, pivot tables, reporting)
- Experience working in a fast-paced, high-volume environment
- Current Washington, D.C. Residents.
- Experience with Monday.com, AvidXchange, Salesforce, or similar systems
- Experience supporting facilities, property, or multi-site operations
- Experience working across multiple entities or business units
- Strong analytical and problem-solving skills with the ability to translate data into actionable insights
- Advanced reporting and data management capabilities
- Demonstrated ability to leverage technology to improve operational efficiency; Familiarity with AI applications in facility support spaces.
- Highly adaptable with the ability to manage competing priorities in a fast-paced environment
- Strong attention to detail and commitment to data accuracy
